Buyer and audit support
Supplier Evidence Sprint
A Supplier Evidence Sprint helps manufacturers, exporters and suppliers respond to a defined buyer questionnaire or evidence request. SVEGA brings the questions, supporting records and responsible teams into one controlled response.
We check what the available evidence supports, identify missing information and help your team prepare accurate answers for internal approval. You leave with an organised response pack and clear responsibility for outstanding work.
One request. A traceable response.

- Questionnaire received
- Supporting documents requested
- Files spread across teams
- Submission deadline approaching
The buyer has asked for evidence. Your team needs a shared response.
A request arrives in sales or procurement. HR holds the workforce information, finance holds payroll, EHS holds safety records and operations knows how the site works. Each team has part of the answer.
Problems appear when those parts are submitted without a common review. Headcounts use different dates. A group policy is attached to a site-specific question. A control is described as fully implemented even though records cover only part of the workforce.
The Supplier Evidence Sprint gives the response one working structure: what was asked, who owns the answer, what supports it and what needs further action.
OECD guidance treats due diligence as an ongoing process of identifying and addressing impacts, tracking results and communicating the response. A completed questionnaire is one communication task within that wider process. [1]

WHEN THIS SERVICE FITS
When the Evidence Sprint is useful
01
A customer has sent a supplier questionnaire
You need to allocate questions, collect supporting records and review the answers before submission.
02
A buyer wants evidence behind an earlier answer
Your company has already responded, but the buyer now wants documents or clarification. The evidence needs to match the original claim, entity, site and period.
03
Different customers keep requesting similar information
Your teams start collecting files again each time. A maintained evidence index can make the next request easier while allowing for each buyer’s different requirements.
04
The response has stalled between functions
Questions remain unanswered because responsibility is unclear. Someone needs to bring the contributors together and identify the decisions that require management approval.
For a step-by-step starting point, read our guide to answering a buyer ESG questionnaire in India.
HOW THE ENGAGEMENT WORKS
How the Supplier Evidence Sprint works
Define the request
We agree the questionnaire or document request, deadline, scope and client contacts. Access and review assumptions are settled before the work begins.
Gather and check
Responsible teams provide the agreed information. SVEGA maps the records to the questions and identifies inconsistencies, unsupported claims and missing items.
Review answers and actions
We work through the response with the relevant owners. Management decisions, specialist questions and work that continues beyond the submission date are recorded separately.
Approve and hand over
Your authorised approver reviews the response and proposed disclosures. We hand over the agreed pack and outstanding action list so your team can submit and maintain it.
ENGAGEMENT SCOPE
What SVEGA works through with your team
The precise review boundary is confirmed against the buyer request, site, worker population, record period and deadline.
Confirm the request and its boundaries
We identify the buyer, legal entity, sites, reporting period, deadline and required format. We also record which questions need clarification before a reliable answer can be prepared.
Map questions to responsible people
We allocate response and review responsibilities across relevant functions. Where responsibility is unclear, our approach connects with the principles in social compliance roles and responsibilities.
Check the available supporting evidence
We examine agreed records for relevance, period, scope and consistency. Evidence may concern workforce data, recruitment, wages and hours, safety, worker concerns, contractor oversight or supplier controls, depending on the request.
Prepare supportable answers
We help contributors describe what exists and its actual coverage. Partial implementation and missing evidence remain visible. An answer is not strengthened by claiming more than the organisation can demonstrate.
Separate response work from implementation work
Some gaps can be addressed by finding the right record or explaining its scope. Others require a new process, corrected practice or a specialist assessment. Those become assigned actions rather than unsupported statements in the response.
Prepare the pack for client approval
We organise the agreed answers and documents for review by your authorised approver. The client approves disclosures and commitments and controls submission to the buyer.
ILLUSTRATIVE EVIDENCE REVIEW
What a traceable answer looks like
Illustrative example, not a client result:
01
Is safety training provided to all workers?
Which site, period and worker groups does the question cover?
02
Available evidence
Induction and refresher records exist for direct employees
03
Gap
Contractor training coverage has not been confirmed
04
Responsible owner
EHS lead, with contractor coordinator input
05
Response approach
Describe confirmed coverage, identify the limitation and obtain approval for the proposed next action
The final answer must follow the buyer’s format. The example shows SVEGA’s review logic, not a universal scoring rule or an assurance that the buyer will accept a partial response. Where contractor information is the recurring gap, the contract labour governance guide explains the responsibilities and records to examine.
WHAT YOUR TEAM RECEIVES
What your team receives
The proposal defines the requests, sites, review rounds and deliverables included. The working pack can include:
RESPONSE AND EVIDENCE
A pack your team can review
- Request and scope register - Record what needs answering and the relevant boundaries
- Question-by-question response tracker - Connect each answer with an owner, review status and supporting records
- Evidence index - Locate documents by topic, site, period, owner and version
- Reviewed response draft - Present supportable answers and explain limitations
ACTIONS AND APPROVAL
A clear handover for submission
- Evidence gap and action register - Assign outstanding work, dependencies and proposed dates
- Disclosure review checklist - Flag records needing redaction, permission or specialist review
- Approval and handover record - Preserve the approved version and responsibility for future maintenance
Share what the buyer needs, with the right review
Payroll, worker details, grievance files and commercial records need careful handling. The response pack should identify what is proposed for sharing and what requires redaction, permission or a different form of evidence.
OECD guidance recognises confidentiality and security concerns when communicating due-diligence information. [1] SVEGA’s proposed workflow applies this through a disclosure review before client approval; it is not a legal opinion on a specific disclosure.
CLIENT CONTROL
- The client retains control over access, approval and submission. Sensitive underlying records should not be uploaded simply because they are available.
Scope and access determine the schedule
“Sprint” means focused work around a defined request. It does not mean that every evidence or operating gap can be closed within the same number of days.
Timing depends on the questionnaire size, sites, records available, review rounds, deadline and availability of responsible people. The proposal confirms the schedule and any limits on what can be completed before submission.
Please provide the buyer’s request, relevant code or instructions, required period and submission date. We also need an accountable coordinator, functional contacts, access to agreed records and an authorised approver.

ENGAGEMENT BOUNDARIES
What the engagement covers
This is advisory support for organising and reviewing a defined social-governance evidence response. It does not certify compliance, issue an audit report or guarantee onboarding, approval or an order.
Accurate records and defined scope
- We do not fabricate or backdate records. A new procedure cannot demonstrate that a control operated in an earlier reporting period.
Specialist input and authorisation
- For a broad ESG questionnaire, we agree which social-governance questions SVEGA can support. Environmental calculations, specialist safety assessments, legal opinions and other technical subjects require appropriately qualified input. Portal submission or direct buyer communication is not included unless separately agreed and authorised.
When a questionnaire reveals a deeper systems gap
SVEGA’s published packaging-manufacturer case study describes buyer questionnaires exposing gaps in workforce data, supplier oversight and governance responsibility. The engagement involved a diagnostic and a wider system build. [3]
CONTEXT FOR THIS CASE
- It illustrates why an evidence request can reveal work beyond organising documents. It is not presented as an Evidence Sprint case or a promise of the same outcome.

Frequently asked questions
Frequently asked questions about Supplier Evidence Sprint
What is a Supplier Evidence Sprint?
It is a focused advisory engagement around a defined buyer questionnaire or evidence request. SVEGA helps your team organise answers, check supporting records and assign actions for gaps within the agreed scope.
Can the Supplier Evidence Sprint help with an ESG questionnaire?
Yes, for the agreed social-governance and evidence-coordination scope. Technical environmental, financial or legal questions may require other specialists. We clarify those boundaries before starting.
What happens if supporting evidence is missing?
We identify the gap and check whether legitimate supporting records exist. If the answer cannot be substantiated, it remains qualified or incomplete. Any proposed action needs a responsible owner and client approval.
Can we use the same evidence pack for several buyers?
The evidence index can provide a reusable starting point. Each response still needs checking against the buyer’s question, entity, sites, period and disclosure conditions.
Will SVEGA submit the questionnaire on our behalf?
The standard scope prepares the pack for your approval and submission. Portal access, submission or direct communication with the buyer requires a separate agreement and explicit authorisation.
Is a Supplier Evidence Sprint the same as an audit?
No. It reviews and organises the agreed response and supporting evidence. It does not provide independent assurance, certification or an audit score.
How long does the engagement take?
The schedule is agreed after reviewing the request, sites, evidence, deadline and availability of contributors. We do not promise a fixed turnaround before understanding the work.
Does the engagement guarantee that the buyer will accept our response?
No. The buyer decides whether the answers and evidence meet its requirements. SVEGA helps make the response accurate, organised and clear about its limits.
How is the fee determined?
The proposal reflects the defined requests, sites, review rounds, records and coordination required. Additional implementation work is scoped separately.
